Position Summary

Reporting to the Senior Human Resources Manager, the Seasonal Harvest Administrative Assistant is responsible for supporting both the scheduling and payroll functions of the Harvest operation. This position will work closely with Harvest Supervisors and the HR Department to ensure accurate staffing, timely payroll processing, and compliance with company policies and labor regulations. Cross-training will be provided, and the successful candidate will be expected to cover scheduling and payroll functions as needed. This is a seasonal position with extended hours during peak harvest periods, including weekends and holidays.

Position Responsibilities

  • Lead daily communications with Harvest Supervisors to ensure adequate staffing.
  • Accurately schedule harvest employees and update timekeeping systems (ADP and Attendance on Demand).
  • Collect and audit timecards daily for payroll accuracy.
  • Process and troubleshoot payroll discrepancies in coordination with HR and Harvest departments.
  • Monitor and maintain employee records, including documentation of time-off requests and grievances.
  • Assist in employee orientations and enforce company policies as needed.
  • Respond to employee concerns, ensuring timely escalation and documentation.
  • Provide administrative support, including filing, answering calls, and message-taking.
  • Support HR engagement initiatives and event planning.
  • Perform additional duties as assigned to support Harvest operations and the HR department.

Position Requirements

  • High school diploma required; some college preferred.
  • One (1) year of relevant experience in scheduling, payroll, or HR administration required; a bachelor’s degree may substitute for required experience.
  • Bilingual in English and Spanish (speak, read, and write) is required.
  • Strong interpersonal, organizational, and time management skills.
  • Proficient in Microsoft Office (Outlook, Excel, Word, PowerPoint).
  • High level of integrity, discretion, and ability to work independently and in a team.
  • Ability and willingness to travel as needed.
  • Must be available to work extended hours, weekends, and holidays during the peak season.

The pay for this role in the state of CA is $19.00 - $21.00/hr and is based on the position responsibilities and geographic location.
